Clocking Your Employees

By: articlewritingexpertise

There are many types of employee time clocks that companies have been using, thinking that they are keeping impeccable track of their employee hours. The truth is that these are not as accurate as they think they are. Time clocks can actually do more harm for the company they do good.

Many companies rely on the honor system with their time clocks, expecting employees to do as they should when it comes to clocking in and out but in fact they are finding ways to milk the time clock. This means that they are stealing hours from the company and putting more money into their paychecks. How is the possible? It's easy, for example, if an employee is running late then do not want their boss to know so they call their co worker and have them punch their time card.

Another way that employees steal time from the company is by punching in a few minutes early or a few minutes late. Most time clocks have a cutoff point where the minutes are concerned. For example if the employee clocks in at least 7 minutes early, the time clock rounds the time to 15 minutes as it works on quarters per hour. So if they clock out 7 minutes late they actually get paid for an additional 15 minutes or a quarter of an hour. These little discrepancies can add up over time, costing the company a fortune in the long run.

Another benefit of the telephone based time and attendance system such as Call the Time, will allow you to print and review time cards at any time. As the system records the time, it automatically enters the information into the system and gives you an accurate updated total in moments.

Your employees can clock in and out as many times as they would like. Since the system is voice activated, no one else can do it for them. This means that if their friend sees they are running in late, they can't just punch the clock. The voice must match the employee or a flag is placed for the manager to review.

If the employee does clock in from a phone other than their authorized number, a flag is placed. This way, if an employee is stuck in traffic and trying to clock in, you are notified about it as it happens. With a time and attendance system done by the phone, you are ultimately only paying for actual time spent working.

Plus it couldn't be easier to run. Everything is based online and can be accessed from a personal computer. You can review the information provided and keep track of upcoming overtime and other expensive occurrences before they happen.

Offsite employees will benefit with this system as well. They can call from their home and check in when they begin work every morning. There is no need to stop by the office before taking care of their business for the company around time. Which if there is an early morning meeting across town, this can be extremely helpful.

Changes in clock in and out times are noted as well. If an employee is clocking in later and out earlier, the system will note this information and make a manager aware of it. It will also monitor for similar patterns, such as every Tuesday an employee clocks in late. This way you can build an action plan to help an employee correct attendance problems.

There is a way to remedy this issue and you can do it without spending a fortune. There are such companies that offer what is called a call in time clock where the employee calls in to a system, to track their hours. This helps to eliminate error and early punches. The systems works with a webpage that you can access at anytime to get full reports on what hours your employees are working. This gives you 100% accuracy so there is no room for error.

Think of all of the time you will save. No more collecting time cards and calculating each and every employee's time and attendance. You just click your mouse and you're good to go. The phone system does all of the work for you. Now your human resources department can spend time on what it is supposed to. If you do not do your payroll through HR as you use a payroll department, you may find that you really do not need to have an entire payroll department.

One great feature that phone time clocks have is that they can actually tell who the employee is by their voice, making it impossible for someone else to call in for your employees. This is truly the answer to the downfalls of employee time clocks.
